This policy explains how Ultreya Tours uses and protects personal information supplied through this website.
1. Controller

2. Information collected
When you use the planning wizard or contact us, we may collect your name, email address, optional telephone number, participant count, travel preferences, dates, duration, budget range, accommodation preference, selected journey or Experience, and comments you choose to provide.
After you accept a proposal, the Booking Form may also collect your proposal or booking reference; payment amount and purpose; booking-contact details; traveler contact numbers and WhatsApp preference; traveler names, dates of birth and nationalities; passport number, issuing country and expiry date; emergency-contact information; room and bed preferences; dietary requirements, food allergies and cross-contact concerns; health, mobility, accessibility or accommodation requirements relevant to the journey; and arrival or departure details. For invoicing, it may collect an individual’s name, contact email, passport number and billing address, or a company or organization name, billing address and tax or identification number. Technical security information may also be processed when a form is submitted.
3. Purposes and legal bases
We use enquiry information to assess your request, recommend a suitable next step, respond to you and discuss a possible booking. We use Booking Form information to identify the accepted proposal, administer payments and invoices, confirm traveler details, communicate during the journey, prepare appropriate accommodation and services, and arrange accepted travel services. The principal legal bases are taking steps at your request before entering into a contract and performing the resulting contract. We may also process information where necessary to comply with accounting, tax or other legal obligations, or to protect the website and form services against misuse.
Health, allergy, accessibility or other information that may reveal special-category personal data is requested only when relevant to assessing, arranging or delivering the requested services. Where applicable, we process it on the basis of the explicit consent provided in the Booking Form. You may withdraw that consent, but doing so can affect our ability to arrange or safely deliver a requested service.
An enquiry or booking submission does not subscribe you to marketing communications unless you separately select the optional marketing checkbox. If you do, we use your email address to send occasional Camino news and travel inspiration on the basis of your consent. You may unsubscribe or withdraw that consent at any time.
4. How the planning wizard works
The wizard applies predefined matching and qualification rules to the answers you provide. It may identify catalogue journeys or recommend personal review. It does not check live availability, confirm a booking, or make a decision producing legal or similarly significant effects. Ultreya Tours reviews qualified enquiries personally.
Submitted enquiries and Booking Forms are stored in a protected database before an email notification is attempted, so an email delivery failure does not erase the submission. When a catalogue search or a non-identifying set of planning choices produces no suitable result, we may also record the filters, interface language and page involved in order to improve the collection and recommendation rules. This operational record excludes names, contact details, free-text comments and exact travel dates.
5. Recipients and processors
Authorized Ultreya Tours personnel receive enquiries and booking information. Hostinger provides website-hosting and email services and acts as a processor. Only the information operationally necessary for a service is shared with the accommodation, transport provider, guide, activity provider or other supplier delivering it. Suppliers do not receive the complete Booking Form unless the complete record is necessary for their role, and they remain subject to applicable data-protection obligations.
6. International transfers
Some providers may use infrastructure or subprocessors outside the European Economic Area. Before any restricted transfer is relied upon, Ultreya Tours will verify the applicable processing terms and ensure that a lawful transfer mechanism is in place. This policy does not claim a particular processing location or transfer safeguard where the applicable contract has not yet been confirmed.
7. Retention
Enquiries that do not result in a booking may be retained for up to three years after the last meaningful communication. General booking, invoice and payment records may be retained for the contractual relationship and for additional periods required by accounting, tax or other applicable law. Passport details and health, allergy, accessibility or emergency-contact information are retained only for as long as they are operationally necessary for the journey, unless a longer period is required by law or is necessary to establish, exercise or defend a legal claim. Information may be deleted sooner when it is no longer needed for these purposes.
8. Your rights
Depending on the circumstances, you may request access, rectification, erasure, restriction, objection or portability. Send a clear request to nellie@ultreyatours.com. We may request proportionate information to confirm your identity.
9. Security
We use proportionate technical and organizational measures intended to protect personal information against unauthorized access, loss, alteration or disclosure. No internet transmission or storage system can be guaranteed to be completely secure.
11. Policy changes
We may update this policy when our services, providers or legal obligations change. The current version will be published on this page.
